Liquid Gas Europe is currently looking for a Event assistant – stage to join its team in Brussels.

Liquid Gas Europe is a European association, composed of national liquid gas associations, suppliers, distributors and equipment manufacturers of liquid gases such as LPG, renewable LPG and renewable & recycled carbon DME, and other drop-in and complementary renewable gases. These gases are primarily used in off-grid, rural and remote areas for such purposes as heating, transport and industrial applications.

The successful candidate will assist Event Manager and Advocacy Manager in the preparation of various events, namely the flagship European Liquid Gas Congress which attracts a vast participation from across Europe; as well as the organization of events in Brussels. We are looking for a self-motivated and independent person with excellent communication skills to join a small, but dedicated team of six.

Main tasks

The successful candidate will assist the Event Manager and the General Manager with the following tasks: 

  • Assist in the overall planning and organisation of events held in Brussels, considering details such as venue selection, catering and transportation;
  • Assist the Event Manager with organisation of the European Liquid Gas Congress (various logistical, communication, speakers-related tasks);
  • Coordinate logistics to ensure all necessary resources and materials are available for the event;
  • Work with the Event Manager to find solutions to challenges that may arise during the planning or execution phases.
  • Act as a liaison between the Event Manager and various stakeholders, including members and colleagues;
  • Maintain detailed records and databases of event contracts and correspondence;
  • Create and update timelines, checklists, and other relevant documents to keep the planning process organised;
  • Assist the Event Manager ensuring that everything runs smoothly on the day of the event;
  • Manage on-site logistics, troubleshoot issues, and coordinate with staff and contractors to address any challenges;
  • Welcome guests and handle any inquiries and concerns;
  • Keep track of expenses, invoices, and receipts related to the event;

Requirements

  • EU work permit;
  • Fluency in English (C1/C2);
  • Degree in communications, public relations, marketing or related subjects;
  • Detail-oriented and proactive;
  • Excellent communication, organisational and interpersonal skills;
  • Excellent office software skills (MS Office);
  • Ability to work under deadline pressures, multitask and prioritize effectively;
  • Team spirit.
